Tries to Schedule the Audit at an Inconvenient Time and/or Location
On Page 19 of our Payroll Auditing book we state that “the goal of the auditor’s representative is to schedule the audit at a date and time that is convenient to the payroll auditor”. The easiest way to do this is to select a date and time and communicate it to the employer in the initial correspondence between the payroll auditor and the employer.
The employer may call or write stating that the date selected is not convenient. A phone call should be made to the employer by a person working for the payroll auditor who has authority to commit to an alternative date. That person should communicate to the employer that the original date was selected because the auditor will be conducting other audits in that area at the same time. Alternative dates (and times) surrounding the original date should be suggested and agreed to, if possible. All communications attempting to set up the payroll audit date should be documented.
If the employer appears to have a valid reason for not agreeing to the original date, then an alternative date convenient to the auditor should be scheduled. If the employer will not agree to any date selected, then the auditor should contact plan counsel and proceed based on their advice.
